About the Role
Are you a highly organized professional with a knack for keeping schedules tight and clients happy? We are looking for a proactive Administrative & Client Coordination Specialist to join our team. This is a fast-paced role that requires a blend of communication skills, marketing support, and meticulous administrative execution.
Since you’ll be the bridge between our advisors and our clients, we need someone who is not just "good" at English, but exceptional—both in writing and over the phone.
Key Responsibilities
Client Relations: Actively calling and following up with clients to ensure a seamless experience.
Coordination: Managing the flow of communication between customers and advisors to keep projects moving.
Calendar Management: Owning the daily schedule, booking appointments, and preventing double-bookings.
Marketing Support: Executing MailChimp email campaigns and handling basic social media engagement to keep our brand active.
Administrative Excellence: Preparing customer paperwork, completing forms with high accuracy, and managing high-volume email correspondence.
What We’re Looking For
Fluency in English: You must be comfortable speaking with and writing to native speakers with clarity and professionalism.
Extreme Organization: You enjoy systems, checklists, and making sure nothing falls through the cracks.
Responsiveness: You are quick to reply and take pride in being "on top of it."
Tech Savvy: Experience with MailChimp, social media platforms, and digital document management is a major plus.
Reliability: You are available and focused during the 3 PM to 11 PM shift.
